Today we are going to discuss quoting thanks everyone for joining the July Master Class here with Steelhead so before I begin on that just a note going through here feel free to drop any questions in the chat as we go and then during the Q&A you can unmute yourself ask questions but the plan for the day is just to go through quoting I will do a demo demonstration in a demo domain of steelhead where we will walk through quoting a job how to do that in Steelhead
and then we'll go through a Q&A session we'll leave try to leave at least 10 minutes for people to ask questions and I'll give answers or demonstrate if I need to on steelhead there as well so my name is Leander Daavettilla I'm a deployment leader here with Steelhead Technologies and with that we will jump right into the quoting so like I said we'll cover how to create a quote the functionality of quoting receiving a job from a quote and then how you can quote later on at invoicing if you do receive
a job that you have not had a chance to price yet and then we can go cover just very quickly the pricing on part numbers now you can have multiple different options there so with that I'll jump over to steel head right here I'm on the the home screen of steelhead here and quoting is a separate module so I'll begin there jumping into quoting right away we can see we have a list of a whole bunch of other quotes that we have created all listed out with all the necessary information that we like to
see filter by search by whatever we need from here one thing to note before I actually go and create a quote is we do have an option to create quote stages and I will show you how that pops or populates on a quote but we do have an option here where you can have a stage where you're drafting that quote and you're coming up with that pricing and the information you need to add but then you can move it to a pricing approval stage and then furthermore you can move it to an active stage once that pricing
is approved and you're ready to go so beginning here I'm going to select the option to create a new quote when we create a quote we have the option to name it some of our customers will name it the RFQ number given by their customer or in most cases customers will leave it blank here and it'll just autogenerate with the next ID assy you can select to assign this quote to somebody else to fill out so if I'm the head of quoting and I have a team working under me that goes through and builds the quotes
and does the pricing and creates those proposals I can assign assign this to somebody that is working under me and make sure that they go follow up and create that quote or finish it off customer here we can select a customer from a list to drop down so in this case I'm going to search and create a quote for Boeing upon selection of that customer it fills in their default billing address and default shipping address just to give an idea here there is a drop down of multiple addresses for that customer
moving along then we do have the shipping address default fill in as well same idea as the building address there and then we can also have a default quoting contact at Boeing in this case it happens to be Leander and then all the other customer information that's important here in voice terms we have a date when this quote is valid until so we see here that is set for 30 days and that is a default but I can change it for this specific quote if I would like to give a little extra time and then a
follow-up date if we want to give a notice here and it'll show up in red that we need to follow up on this quote so in this case it's set up for 7 days out meaning if I don't hear a response I want to know that I should follow up on that quote follow up with that customer ask them if they have any questions or check in make sure they saw the quote and want to go from there last selection on this create quote dialogue is to do a total price quote or a unit price quote for this example I'll do a total
price quote and the main difference there is when you do a total price quote you can enter a quantity of parts to get a total price versus a unit price you will just get your unit price and go from there send that off to the customer say hey it'll be $5 per part no matter how many you send me so with that I'll hit save and we have now created our quote in the top left you can see my quoting information here it autogenerated the next number of 830 I left the name blank so it did not name this quote
in this case we have a total price quote and then it was created by myself Leander because I am logged into steel Hood we can see in the top right when it was created valid and tail followup and then in the top middle we can see all of the customer information if we happen to make a mistake or we need to change some of these details here we do have the option to edit details in the top left and make changes there as needed moving down now I'll get rid of this product that we have in there so we
can go through it from a clean slate we have the option to add parts so we want to add our parts to our quote and it'll create a line item for us where we can select a part from a drop down so for example if I click any of these part numbers here it's going to pull in last time the process or treatments selections that we have default selected on this part number that way I don't need to make those selections if I am quoting a part that we have already run through the shop and we already know what
we're going to do with it we also have historical pricing which I'll touch on a little later we can go through a brand new part for this example so for now I'll just create a part number we call it B12 34 something easy to remember and we'll create that part number and it'll bring up a new part number dialogue so we can see with quoting right away we do have the freedom to select a part number that already already exists in the system otherwise select a new or create a new part number in this case
so the main things I want to focus on when I create a new part number is to in fact put that part number there description for our team so I want them to know it's it's a bolt if we want to have a customer facing description here if they do access steelhead via customer portal then we can have that information here displayed as well we can upload a dis display image of this part number right from here so in some cases our when you're creating a quote you may get a picture of a drawing or a picture
of the physical part from the customer that sent the RFQ so you can upload that there to store that image for well really forever with that part number so that could be very useful there I can hit save so now I have that bolt image display stored with that part number the default process in these selections here we can make on the part number to set as the default for now until we change it but in some cases you want to just quote a job say quote it for a specific process and treatment and treatment
meaning meaning and action applied to that part or in my case I'm going to go through batch powder cating so just a powder color that you choose so I don't want to set the default on this part number quite yet myself I want the part planning crew to do that so I'm not going to set the default now but the customer when they did send that RFQ to me did say that it was in this case a half a pound or we'll just do 1.5 pounds per part and it was 0.2 square feet per part so that information I have on
my RFQ and I want to add that we do also have the option to have custom inputs on a part number so this is one example of how a custom input could be used in quoting if your line speed for that part or I guess if your line speed depended on the part that was being hung on the line if you were quoting for an auto line or something what I wanted to just show here is just that we do have the option to configure any sort of custom factors or variables that you do need to store on that information on
that part number other than just units so if there is anything specific to how you quote or need in your formula we can build it and it can be numbers or drop down selections or strings if it depends on part material for example you can have a drop down selection of St stainless steel or steel or so on the next option here is just to hit save and go back to the quote or we can do save and add specs so if specs are defined by the customer on that RFQ again or you already know what spec to apply for
this part number you can quickly add a spec and we can go through our drop down selection here and if you want to learn more about specs most definitely you can reach out to somebody who you have contact with that Steelhead or feel free to reach out via the website so for now I'll just to give the visual I'll select the spec and make sure all my parameters and things are selected there but don't want to get too distracted by this so there I'll hit finish so now we can see we created our part number
we have a spec linked with this part number and if I do need to make changes there as well I can go to this pencil here to edit that part number and make changes so now for this part number here it has a process selected there I want to quote this job we'll just do a batch powder coat job pretty straightforward in this case and I'm going to say we're going to apply blue Powder and we can see our price is currently n because we still need some more inputs so in this case I'm going to say our setup
charge is $2 and now we have a price outputting so to go through the multiple different options of functionality here with quoting just to give an idea we do have custom inputs here and these can be configured based on again those inputs that you feel you want in your formulas when you're quoting a job in this case we have a setup charge where you just enter a dollar value and a market percentage where you can mark up that job so if I want to mark up this up that job so if I want to mark up this
up that job so if I want to mark up this job say 20% you can see it increases that price per part some more functionality around building that pricing is what we call in steelhead price Builders these price Builders are built off of options built into the process already so again kind of getting into the Weeds on that side of the process but whatever process you select can Drive different options or inputs that you see fit to be inputed at quoting or estimating the price of that job or part so in
this case we selected batch powder coding and we said we're going to go through powder and we know our powder labor we're going to charge 78 cents a minute so how many minutes are you going to spend powder coding one part we'll say we spend 3 minutes in this case and that gives a total of 234 and if you see that increased our total by 23 4 so we went from 813 and in this case plus 234 and we'll increase that value if we do have some sort of code or script written behind that to take that total number
and do some division or addition in this case it appears like we may have we can manipulate these numbers to work in your formulas how you quote today another price Builder example that I have on this job is inspect and pack labor so in this case when we go through the inspect and pack we want to make sure we're charging for that right so we charge 75 an hour and how long is it going to take to do a part I'll just say for now 0.1 hours so that'll tack on another 750 onto that price per part so when
you think about quoting the goal right is to estimate what is this job going to cost well we're estimating our labor we have that factored in here but we also need to be sure that we are estimating our powder or material so when it comes to material in this case I'm going to focus on powder and maybe you could focus on the packaging as well if you're purchasing cardboard or tape or foam or whatever you need there but ultimately we want to pull all of that information in and what we are able to do
in Steelhead is write code in the background to take all of your inputs all of your formulas whatever sort of information you need to quote input it into that code and output that price so another point to make here is we can output any sort of add additional information that you feel would be useful to see to make sure you're on the right track so as an example here additional pricing information that I have is powder cost per pound which is $1 and total cost for the powder per part which is $477
and what I did with the code was take the square footage and then the inputs from that powder so we know our powder specific gravity for example and those types of pieces of information to try to calculate that pounds of powder needed to cover this entire part and then based on your price per pound you get your price of powder per part wow so just to give a display of this if I do change this to we'll do dark purple for example we can see now our powder cost per pound goes down to 950 our total
cost for powder per part is 412 and our price per part changeed to 1634 so a lot of functionality here and then just to give the background Behind these blue Powder I have this inventory item open I can see our last batch price that we purchased this at was in fact $11 a pound if I go a step was in fact $11 a pound if I go a step was in fact $11 a pound if I go a step further into dark purple I can see this last patch price was in fact 950 a pound so we feel it is very important right to add in
that material and labor in this case to calculate your price per part so we want to pull in whatever sort of information or inputs you input we want to make sure we're accounting for everything so customer sees the quote what what is he what is he or she going to to actually see are they going to see all those items or is it just they will not yep I'll I'll get there I'll show you that PDF for sure perfect yep so here walking through this part we have our part priced out right we're happy okay 1712
per part is good and then how many parts are you going to quote in this case we can enter in our quantity so if I want to say 50 of these we can add that information there as well few other options here parts for rack is another common one that comes up important for quoting so if I select my parts for rack I can say okay this B1 2 3 4 part number we can fit 10 of these on a small rack so our default is 16 but for these we can only fit 10 or maybe for these we can fit 30 and we could have that play
into your quoting as well so for now there I'll save parts to go a level deeper on the voting we priced out our parts and you can continue to add more parts if you want to add more or remove if you only want to just do one or you accidentally add one extra in this case now we can also add products to a quote so maybe we want to charge the customer for shipping and we want to display that information for them we can have a drop down of selections of different products that we charge or may charge
for so in this case if I select shipping I can have default prices fill in to say okay if it's 2day shipping it's $150 it's next day shipping it's $550 and I can save those products and that will total into the quote as well notes is a field that we can enter in here we can have a display on that PDF to the customer or we can keep it internal either way and then files we can upload a quote file so some of our customers use this to upload a copy of the RFQ just to keep it stored and tied with that
quote so if I scroll up to the top now we can see our part total came out to 856 $856 and 31 and we can see that that matches up correctly here and if I go to my product total I can see it's $550 and that in fact is $550 as well so we get a quote total of 1406 and 31 so my next step myself creating this quote I drafted it up now I need to get it approved by the manager so I'm going to move this to pricing approval and that will move on and then in this case sometime later the manager can come over
they can see this pricing approval status is needed or maybe they want to filter by that status they can go filter by pricing approval and see what all needs pricing approval so if they come in here they see okay this quote needs to be approved they can pop it open check it out yep everything looks good here now we can move our stage to active so now that it is an active quote we do have the option to create a sales order directly off of it or receive the parts directly off of this quote which I
will cover but our first step here is to check out that PDF make sure we're happy with it and then send it off to the customer so if I open up this PDF here we have our PDF template built out where I'm sending this quote myself from steelhead Industries and it's going to Boeing in this case and we want to make sure that the attention to Leander and his email LeAndre ata.com and address as well then we also lay out the information here with part numbers treatments description and so on and then the
pricing of course so to answer your question on will all of that information be seen on the quote that you send to the customer the answer is no in this case and you do have the option so in this case blue Powder we did tell them that it is blue Powder and maybe that's good information to add we'll leave it on there but if you don't want to show the customer that then we can remove that information I have a question are you able to email directly from the system to the customer very next step great
timed question yep perfectly timed actually so next we view that PDF right we're happy with it now we can email this quote directly to the customer again an optional functionality is to request the customer to sign that quote but in this case now we have our contacts for that customer here and we know the quoting contact is Leander so we can send that quote to Leander and then we can also send it to other contacts at Boeing in this case if we would like to so we can check the boxes to send them
as well in this case I'm just going to send this one to Leander and I'm going to request that signature there so I can hit send quote and now we can see it gets the status active and sent we also see this change to sent and we can see that sent or the date sent there as well and we can go a step further and view the history on that so Leander created it at 106 p.m.
moved it to draft moved it to pricing approval active and sent so that is creating that quote I'll take the next three minutes to go very quickly through the receiving side and then I'll open it up to questions so someday later when we're receiving a job in this case we say for Boeing and we know we got these parts in the door B12 3 4 we can select that part from the dropdown and we can enter our quantity here so this quantity doesn't have to directly match with that with that quote this quantity
is the quantity quantity that we actually receive but in this case we received 50 parts so we're going to enter that maybe we have Lot number all this extra information but I don't want to spend too much time on the receiving side the key here to know is when you search quotes you will only see quotes for that part number so if you remember in the beginning we had 7 800 quotes in this domain but we only see one here because there was only one quote for this part number B1 2 3 4 we also get that
status update that it is active and it was sent to the customer so it does make sense to receive against this quote if it was a drafted quote then maybe it may not make sense right so we'll add in that quote information we'll create our sales order and we'll add these parts into an order and another key note here is now that we quoted this job and we quoted it to go through batch powder coat and get blue Powder it made all of those selections that we quoted off of and pulls in our quote pricing
side note here is if the order entry individual does not have Financial permissions or that they won't see that pricing but they will know that they did link it to a quote so in this case key information is that you don't enter that same information twice on a part number if it's entered on order entry when you're adding a part into the system you don't have to enter it at quoting and if it's entered on the quote you don't have to enter it that order entry so that's just a quick visual on how that
looks on the receiving side of receiving customer parts and then make sure you tie it to that quote the Clos loop on that is now we can see that we did receive this order which then going into our reporting function our feature called insights you will be able to see okay we did win that quote because we received a sales order against it so another very quick option is at any point in the process if you open up any sales order you can always quote later if in some cases some of our customers get
a parts off the truck and they go right on the line they run them those parts need to be done now they need to be done yesterday and they got here today so in that case you want to just get those parts into the system you want to start running them through production and you'll price them when you have time if we open up invoicing we do have this feature where you can go to unpriced parts and you can see all of your unpriced parts and you know okay I need to go ahead and get price on this one because
these parts are coming out today we're going to invoice for them or ship them out today and invoice for them today or tomorrow so you can come here you can see this sales order number 2078 and this is just a random one and a part number in this case pencil so you can check that box and quote parts from invoicing and now we go through this very similar dialogue where you're creating your quote you can name it if you need but our part information or customer information excuse me fills in and when
I hit save our part information also fills in so we don't need to add anything because this is what we ran it to right this is the truth but the ultimate piece when it comes to then quoting is you want to add in your extra charges or change your markup right so that way you do get your final price that you need you can always save then there and then move along in this case this part number I don't have pricing or the code written out to price it but that is how you are able to price later on in
this case at time of invoicing or when the parts are already in middle of production the last Quick piece I wanted to show on this demo is if we do in fact quote a job and we want to change that or requote it later or change the pricing rate inflation you should be backing back in on those quotes or increasing pricing you can come in and you can requote jobs so we have the option to copy a quote which is just copy it make changes there but you can also create a revision or you can requote in this
case so if I want to set new pricing here I can requote this job again same idea here I can give it a name reason for requote material is more expensive whatever sort of reason we want to give and we can save there and go ahead and edit this to requote it we also have the functionality to display historical pricing historical pricing now will show us hey last time you quoted this job at exactly 1:27 p.m.
on July 31st I'm out eastern time you price this job at $173 sense if you want to see why or how you got to that number cuz maybe now your setup charge was increased or your markup was increased and now it's 2159 okay why did I price it at 17713 you can select that old quote go ahead and view it and see why you got to that price so a little extra functionality to close that Loop or give you feedback as far as what you quoted last time and why that was a quick demo of quoting and Steelhead
