Transcript [00:00] All right, so I guess we can get started here. It's a little after noon
central time. So today is the June masterclass over customer portals and RF Qs. And
we have Susie here starting us off. Not sure if Susie can talk in here.

[01:01] I guess we can just get started. So yeah, my name is Nathan. I'm on
the deployment team here at steelhead. And we'll be going over customer portals and RF
Qs and we move this slide here. So customer portals and RF Qs, they are
features in steelhead that we have built in to help enhance customer service and to
also help with quote turnaround time

[01:32] and to essentially help you quote faster and easier. And the three things we'll be
doing today is setting up the customer portal and configuring it. How to add and
approve customers, how to create RF QS from the portal. And then we'll end with
little, little q and a session and you can drop in questions in the chat
as we go and we'll be able to cover them at the end here

[01:56] after the demo L and going into steelhead here we have, or this is a
steelhead screen and we have our customers screen and then we have an RFQ screen.
And we can start off with a portal here. So if I go into customers,
we will have these settings and we have a D or a configured default customer
portal. And from here we can set colors, a primary color

[02:24] and a secondary color just based off your company and we can save those. And
then we have these announcements. And what these announcements are, it's kind of a, a
way to send mass essentially almost like an email to a customer or to a
multitude of customers. You can put you're closed on 2 28 for a holiday or
you can put we are open from eight

[02:55] to five this week. Again, we can also preview this and can save. And then
this will automatically update for all customers that are using our customer portal. And within
the portal here we can set default permissions. And if I just hit this edit
button here right now, it's just default that all of them are checked on. But
say, say you don't have

[03:26] certifications or you don't have RMAs that you don't want your customer to see, you
can always just uncheck them and you can uncheck certs and yeah, this is what
the customer will be able to see once you give them access to our customer
portal. And if I confirm here, so that's what the customer can see. And then
we also have these stages, it's,

[03:51] these are based off of this view progress and within these stages you can say
from what, from your process of receiving parts in until they are outside of your
shop, we can add these tags and these tags are gonna be based off of
these processes. So I created this process here and we have a, just a basic
like powder coating process and within like received parts.

[04:22] So this is the first step of your process. We can put a tag called
receiving and then we can put a tag for blast mask, racking, powder, primer, whatever
you want your customers to be able to see. So if I go back into
the stages here, I can add stages called that tag, I think it was receiving
masterclass. And we can select that tag, but then we can also name it.

[04:50] And what this name does is say you don't want your customers to see that
this is you receiving, like this is the first step of your process. We can
change this to parts are in. So that's what the customer will see on that
portal. And then I can just do a couple more here. I can do like
the powder tag, this is the actual application of you applying powder

[05:17] and we can name this, powder application. And then I can do one more here.
I can put shipping as parts are done. So there's a lot of flexibility and
a lot of control that you can have over what your customers can do and
see in the portal. And if I actually dive in or I can, we can
go over how to add users. So what we'll have is we have portal users

[05:55] and then portal user requests and requests is based off of if a customer is
requesting access to see the portal, this is where it'll pop up here and it'll
actually give you a notification this little four and we'll see portal access request four
customers are waiting for approval. And from here we have these actions. We, we could
see who the requester is, so customer contact

[06:23] and then which customer they are for. And we can either grant or deny and
we can also change based on the defaults. So these, these green ones here are
the default permissions that we have set, but we can also say for this customer
specifically, we want them to view certs or we don't want them to view invoices.
So you'll have flexibility over each customer

[06:48] and what they can see instead of just defaulting them getting everything. And I can
cancel that and we can just grant this user access. And what that will do
is that we'll send them an email back saying that you've been granted access to
whoever, whoever's portal it is. And the way we can also add users is we
will have all these portal, this,

[07:20] this screen right here is showing all portal users that we have right now and
we can always resend invites if you had emailed them and you haven't really got
a response yet if they're gonna go on the portal. Or we can also just
revoke access whenever. So if they're, you have a customer and they are using the
portal right now, but you don't want them to have it anymore, you can always

[07:43] revoke their access or edit their permissions. But if we wanna add a user, we
can do this plus portal user and we can search for our customer and just
add Nathan's shop here. And this screen will automatically prompt all of our default contacts
we have for those customers. And we could select all if there's multiple or we
could just select one.

[08:08] And then we also have an invite additional users where if we know someone else
at this company that we want to add, we can just type in their email
right here and then hit this add button. And then from there we can hit
this plus add users to portal. And once this sends, we will, Yeah, it'll, it'll
pop up right here and we'll have a status saying if they

[08:49] or cam view means that they have access invite pending means that they are still,
they have been sent the portal but they have yet to log in And diving
into the portal here, I'll go into this Nathan shop and you can always preview
what the portal looks like for each customer. So if I hit this preview portal
here, this is what our steelhead portal looks like

[09:20] and we'll see any quotes and we'll have that description from that we are open
five eight to five this week. We will have all purchase orders that they have
sent to you, which are sales orders in Steelhead. We'll have those part numbers that
they have sent and the locations of where they're at. We will have any invoices
that we have sent over

[09:42] to this customer and they can, if they have payments set up, they can pay
directly from here or they can also open this PDF and see what that invoice
entails. And if I go back home here, they will also see shipping, just a
packing slip when it was created, when it was shipped at, and the completion and
who ended up signing that packing slip.

[10:11] And you can also open this PDF here and you will see that signature of
who received it from this company and their signature along with the information on that
packing slip. And within these stages, if I like, if I go to parts here,
we can just see a percentage where they're currently at. We can always reference that
sales order and work order.

[10:43] You can see the treatments and if I just hit a work order, this brings
over to that work order screen on this, on this portal they can see the
work order number, the deadline when it was created, and then that progress. So that's
a little bit about our customer portal. And what we can do is we can
also go through RF, QS and rf Qs will have their own screen.

[11:11] And essentially with RF QS we can also embed it directly into the portal. So
if a customer has access, they can create an RFQ from the portal, that will
go directly into steelhead. Or we can also have a link embedded on the website.
So when we go to R FQs, we'll just want to go to that RFQ
tile and go to this configure RFQ form and just enable

[11:40] and what that form looks like is over here and on the right side. And
then on the left side we can customize it a little bit. So we can
toggle on, the logo, so your, your domain logo, we can toggle that on. We
can put a name in, so like request pricing and we can put a description
and I guess that save that real quick. So yeah, we can see that it'll
have request pricing.

[12:11] And for the file message, customers will be able to upload a file, say it's
a picture of like a, a part number or a drawing. We can say upload
part number file. So we can kind of customize it a little bit more just
so they know what they can upload here. And we can set a default contact
for the, for your customer or for your company, who do you want the who
do you want

[12:45] to respond to RQs. And it'll just auto-populate everyone and we can select our default
contact and they can receive notifications for every single RFQ. And this link here is
the link that you can send via email or whatever. And as soon as they
open it, it'll prompt them to this form screen where they can fill out. And
we also have we can embed it

[13:17] to the website like I said earlier, where we can adjust the width and height
of it and we can copy this URL here and it'll upload it to the
website. And within the r FQs itself we have processes and spec. So say you
have your powder coat process, we can select it and add. So you can add,
you can select which processes you want to add to the RF Qs.

[13:49] And within each of these processes we can change or we can specify which treatment
options do we want the customers to see. So if it's a lot of internal
stuff, you can just turn it off or we can always just change that name.
Say we don't want it to be cure yellow for the customer, you could just
put yellow or if it's like a powder red, we could just put red.

[14:20] So we, you'll have full customizability to what your customers can select when they are
creating an RFQ and what that looks like. And we can add specs as well.
Say they had like a mill DT L 53 0 72, we can add that
spec in that the customer can select and we can add those prams to say
it was like a bake at 3 25 or bake at three 50. You can
select which one you can,

[15:01] the customers can fill out. And we also have domain settings and this is where
when you, when an RFQ comes into steelhead, we can set a setting saying the
RFQ is gonna be green up until one hour after one hour it's gonna go
yellow and then after two hours it's gonna go red. And essentially what this will
do is if you can get it within the green, that means you had a
pretty quick

[15:30] turnaround time from RFQ to quote. But yellow is saying, Hey, we have action here.
Customer would want like this back. And then red would also be, we had it
for two hours, no one ever took action on it, let's just get it out.
And this will just help with yeah, helping with that turnaround time. So you can
actually track how long on average it takes from an RFQ

[15:57] to be converted into a quote and sent back out to the customer. And we
can actually go through an RFQ here, lemme just make sure that it's on in
the setting and we'll go into that Nathan's shop customer and go into that portal.
And right next to quotes we'll have rf, QS and we could do this new
RFQ. And if it was your customer in here, the name, email,

[16:32] whatever information we have is our contact. We'll get automatically filled in. But for now
we can just enter my name, email and a phone number. And the order due
is when you want this order backed by and we can say July 27th. Additional
information could be like any sort of masking steps, mask, mask, whole part

[17:13] or whatever additional information that you want that your customer would want you to know.
And we can select our shipping and billing addresses. And this part number screen is
where the customers can add the part numbers that they want you to quote them
on. And I just have one, I just have a couple part numbers here and
we can do this 1.1

[17:40] and we can always create new ones. So say it's 2.2, they can create it
directly from here. And so we'll select this 1.1 and say the quantity on this
was 10 and we can put a part number description saying, flat bearing or or
whatever, whatever sort of description you want for that part number. And then that process,
this is where they can select which process they

[18:12] want this part to go through. And if it is a process and part number
and description we have in steelhead, it'll just automatically fill in what process and the
treatment color and the primer color that we have in steelhead. And if there was
any specs applied in this part number, we can add 'em right here. And then
this file is where we can add any sort of picture

[18:35] of the part or a drawing, whatever it may be. And what we can do
from here is hit this submit RFQ and this will just say it was successfully
submitted and it was sent to, it was sent from my email. And what that
looks like on the back end is if I go home, we will see this
little green one saying that we have a new RFQ and we can either just
hit the RF QS

[19:08] and we'll see 'em all active or we can just hit this notification and we'll
see that timer had automatically started and it'll pull in A RFQ id, the name,
email, phone number, customer, the part count, and then any related emails to this RFQ
and also pulling the order duet. And what we could do from here is we
can hit view details and from here we can name what this quote will be.

[19:40] We could just say 1.1 as 'cause that was a part number and then we
can select a default assignee for this quote. Say it's someone internal you, you're gonna
create it but then you're gonna sign the pricing or whatever else to someone else.
This is where we can add that. And then customer will auto fill in billing
address, shipping address, contact.

[20:01] And then we'll also have a grant portal access. Say, say it was someone from
the website or someone from that's not on our portal, it'll just toggle on and
then add 'em to the customer portal. And then we can also fill in invoice
terms the valid until for the quote and we could enter a follow date. It's
Saturday. And then that order due and then internal notes will also appear.

[20:29] And on the right side here, this is all parts that are gonna be on
this RFQ that we send back. So we'll have part number quantity the description, the
processes and treatments, and then if there was specs applied. And from here we can
either decline the RFQ or we can create the quote and from this create quote
screen and we toggle that off.

[21:01] This will bring us right to that quote screen with a new quote created via
this RFQ. And from here we can change the price or add a price and
change quantity or anything else that we would need to change at this point. And
we could just save and say after, after the quote has been created, we can
go to like a pricing approval step or any sort of stage that we have
set up within our quoting.

[21:33] Say what goes from here to pricing approval. And then pricing approval goes to review.
Or if it's just you receive the quote and you wanna make it active, we
can just move it all the way to active. And what that looks like on
the RFQ after we have submitted a quote is we'll go to this converted and
we can see all converted RF qs into quotes, the response time.

[22:02] And then we can also have a turnaround time and that will be based off
of if I email and create an order for this. So say I have this
email and I select my quote template, I can put a description saying here is
RF Q1 or whatever, and we can hit send. And from there we have that
three minutes and 46 seconds turnaround time. So the turnaround time will get calculated from
as soon as

[22:42] that RFQ was sent in until we email that final quote back to the customer.
And we can always reference that RFQ via the quote screen. So if I go
into that quote, we'll have a source RFQ and we can just hit that number
and we can always see what details were on that RFQ and it will pull
up my turnaround time and our response time. And that concludes our

[24:24] the steps the customer can see in their portal or how many steps can you
make in total. And yeah, the steps are, say you have your process and you
want these steps, every single one of these steps to be in that portal. Yeah,
you will have that ability. We'll just have to tag them each and then rename
them. Or we can leave the name the same

[24:51] and it'll just default to where if we don't change, it'll just be received blast
mask rack. So you will have all the functionality you want with creating as many
steps. And yeah, if your process is 50 steps, we can put 50, 50 different,
stages in there. And that looks like you had one too.
