[00:00] Hello, my name is Jeff Lenin with Steelhead Technologies, and in this short video we're
going to review shipments inside of Steelhead.
[00:10] What shipments allows you to do in Steelhead is contain the chaos that surrounds shipping.
Typically, when you have your own trucks and you're shipping out parts, a normal shipping
environment might look like this: take parts ready to ship, create a draft, have the
customer come pick up those parts, get a signature, and step back into invoicing. Or
alternately, you might have a bill of lading — take the packing slip, turn it into
a bill of lading, and have a third-party trucker sign it. Print it, hand it
to them, collect signatures, and step it into invoicing.
[00:48] Shipments is for that third case, where it's not your customers doing the pickup. We
can cover those other shipping types in other videos. What we want to cover here
is the scenario where, as a job shop, you have your own trucks and a
lot of shipments to manage — perhaps multiple shipping bays.
[01:06] [navigates to parts ready for ship] If I go take parts that are ready to
ship — these parts here, for example — I can create a packing slip. That's a
draft of a packing slip. We can make sure all of our information is correct,
and then finalize that packing slip.
[01:21] [creates a second packing slip for another customer] Let's say we have another customer we're
also working on, and we want to create a packing slip for this one as
well. We verify all of our information and defaults are correct, and again finalize that
packing slip. Sometimes we send it to the customer at this stage, or we can
create bills of lading. In this case, we're just going to step it into a
finalized packing slip.
[01:44] [opens the finalized packing slip and assigns jobs to a shipment] So here we have
a packing slip outer shipment. You can see there's another shipment already scheduled. I'm going
to grab these two jobs and put them on a single truck.
[01:54] [lands on today's Shipment Manager view] That kicks us off to today, and we can
see the activities for today. We had a shipment team meeting, and one of our
vehicles — our Mac 1900 — has a scheduled shipment from 4 to 5 PM. Let's
say we want to add another shipment at that time.
[02:10] [creates a new shipment and fills in details] It already has these parts here, and
we'll just leave the load amount. We can leave notes here — I'll put "DYN" in
front of truck — and then assign a user as well. So if we want, say,
Mark to ship these parts, we can assign them to a location. If you have
multiple shipping bays, we can select that, then assign a carrier if appropriate, and lastly
assign a truck. This is useful if you have two or more trucks, so truckers
can quickly see just the shipments applicable to them.
[02:54] [returns to the finalized packing slip screen] Back at the packing slip finalized screen, we
can see we have a shipment of parts in Bay 5 for 4 o'clock, and
a shipment of parts in Bay 3. We can go ahead and collect signatures right
from this page, or we can jump into the Shipment Manager.
[03:11] [opens the Shipment Manager] If your job is to manage all of your shipments,
you can see the day or week view of all the jobs you have to
ship out. The Trucking Dashboard also provides a view of that, and you can filter
it.
[03:25] [adds a filter to the Trucking Dashboard] We can add a filter and say, "I
only drive the Volvo," so we only see jobs applicable to that truck. Then we
can save this and bookmark it — a trucker could save this to their phone
and have a continual list of everything they need to pick up, where the parts
are, and where to ship them.
[03:44] That's how shipments work inside Steelhead. Beyond that, you can collect signatures the usual way
— from the customer on a tablet or phone at the customer's location. Once completed,
it goes through its regular post-processing: sending the signed packing slip to the customer and
stepping it into invoicing.
[04:06] The Shipments tool is extremely useful for job shops with 2, 3, 5, or
10 trucks, six shipping bays going all over the place, and multiple shipments at once
— giving truckers a clear picture of what they're shipping and how, all integrated into
the Steelhead production system so whoever's dispatching has all the critical information at hand. Even
truck weights — so you don't exceed gross capacity limits — are visible in one single
location. And it's all integrated downstream into invoicing. It's a single workflow with all the
information at your fingertips to streamline management of your own shipments and trucks.
